Privacy

1.1 Information you give us. When you submit the commission form we collect your name, email address, shipping country, the subject you wish painted, the number of faces in your photograph, the canvas size you are considering, any date you need the painting by, and anything you write in the notes field.

1.2 Photographs. To paint a commission we need the photograph you want painted. Photographs are personal information, and a photograph of a person is information about that person as well as about you. Section 4 explains how we handle them, and it is the most important section here.

1.3 Correspondence. Emails and messages you send us, our replies, and the finished photographs we send you for approval.

1.4 Payment information. Card details are collected and processed by Clover, our payment processor, under its own privacy terms. Velea does not receive or store your full card number.

1.5 Technical information. Our host records standard server log information, including IP address, browser type and the pages requested, used to operate and secure the site.

1.6 Search performance data. We use Google Search Console, which reports how our pages appear in Google search results. It shows us search terms and click counts in aggregate. It does not place anything on your device and does not identify you.

We use personal information only to answer your enquiry and prepare a quotation, to paint and deliver your commission, to send the progress photograph at about two weeks and the finished photographs before the balance is charged, to take payment and keep accounting records, to operate and secure the website, and to show a finished commission in our gallery, but only with your separate written permission, which you may withdraw at any time.

We do not sell personal information. We do not use it for automated decision making or profiling.

We will not add you to a marketing list because you commissioned a painting. If we ever offer a newsletter you will have to ask for it, and every message will carry an unsubscribe link that works.

4.1 Your photograph is sent to the artist who paints it. Velea works with trained portrait artists located in Cambodia, through a local partner. To paint your commission, your photograph is transmitted to that partner and to the individual artist assigned to your canvas. Your photograph, and the image of anyone in it, leaves the country you live in.

4.2 If you are outside Cambodia. Sending your photograph to the artist means it crosses a border. For customers in the United Kingdom or the European Economic Area, the law treats that as a transfer to a country without an equivalent data protection regime, and it requires a lawful basis. Ours is your explicit consent, given when you send us the photograph knowing it will be painted abroad. Our partner and every artist who receives a photograph is required to keep it confidential and to use it only to paint your commission.

4.3 Other people in your photograph. If your photograph shows anyone other than you, you confirm when you send it that you have their permission for it to be painted and handled as this policy describes. If it shows a child, you confirm you are that child's parent or guardian, or have their permission.

4.4 Photographer copyright. Wedding and professional photographs are usually the copyright of the photographer who took them, not of the people in them. When you send us a professional photograph you confirm you have the right to have it painted.

4.5 Publication. We will never publish your photograph, your painting, or your name without your separate written permission. Permission for one is not permission for the other, and you may withdraw it at any time by writing to us.

4.6 Retention. We keep your photograph for as long as needed to complete the commission and honour the repaint guarantee, and then for the period in Section 8. You may ask us to delete it sooner, and we will unless we need it for the guarantee or for a legal reason.

Netlify, our website host and the processor of the commission form. Our email provider, which delivers our correspondence with you. Google Search Console, which reports aggregate search performance. Clover, which handles card payments. Our shipping carrier, which receives your name and delivery address. Our partner in Cambodia and the artist assigned to your canvas, as described in Section 4.

We may also disclose information where we are legally required to, or to establish or defend legal claims.

The website does not set advertising or tracking cookies, and does not embed third party trackers or social media pixels. Google Search Console does not set cookies on your device.

The website is served over HTTPS. Access to commission records and customer photographs is limited to the people who need it to do the work. No system is perfectly secure, and we cannot guarantee that information sent to us over the internet is completely safe in transit.

Enquiries that do not become commissions: twelve months, then deleted. Commission records, including your photograph and correspondence: seven years after delivery. Accounting and tax records: as long as the law requires. Images published with your permission: until you withdraw permission.

Depending on where you live, you may have the right to ask us for a copy of the information we hold about you, to correct it, delete it, restrict or object to how we use it, or receive it in a portable format. Where we rely on your consent you may withdraw it at any time, and withdrawing it does not affect anything we did before.

If you are in California, you have the right to know what we collect and why, to request deletion or correction, and not to be treated differently for exercising those rights. We do not sell or share personal information as those terms are defined under California law.

To exercise any right, write to us at the address in Section 12. If you are in the United Kingdom or the European Economic Area and are not satisfied with our response, you may complain to your national supervisory authority.

The website is not directed at children and we do not knowingly collect information from anyone under sixteen. Children may appear in the photographs you send us, and Section 4.3 applies to those.

If we change this policy we will post the revised version here and update the date. If a change materially affects how we handle photographs, we will tell customers whose commissions are in progress.
